4 Major Updates in October 2024
Update 1: ‘Night Shift’ and ‘No Shift’
Shifts streamline employee attendance by aligning work hours with business needs. To enhance this, we’re introducing two new options: “No Shift” and “Night Shift“.
What’s in “No Shift”?
The “No Shift” option allows employees to clock in and out at any time during 24 hours, without a predefined shift time.
Attendance Calculation:
- If the employee completes the required hours → marked as present.
- If they only complete half the required hours → marked as having a half-day.
- If they fail to meet the required hours → marked as absent.
What’s in “Night Shift”?
A “Night Shift” will typically start in the evening and end the next day, covering overnight working hours.
Attendance Calculation:
For night shifts, the system calculates attendance based on the scheduled shift start and end times, ensuring that the shift spans across 2 calendar days.
Update 2: ‘Auto-Markout’ When Offline or in No Internet Zone
In TrackoField, the Schedule Alarm permission has been integrated to support the Auto Markout feature when executives are offline. This ensures that if a field executive forgets to mark out, the system will automatically mark out under two conditions (Whichever comes earlier):
- When the shift and any buffer time have ended, or
- At the end of the day (12:00 midnight, based on the local timezone).
For online scenarios, auto markouts are scheduled and executed by the web-based schedulers. However, when an executive is offline and unable to sync with the system in real-time, the mobile app will take over using the Schedule Alarm feature.
The mobile app will automatically perform the markout at the scheduled time, based on the above criteria.
Update 3 – Overtime Module
The overtime module is critical in automating tracking, validating, and compensating extra hours employees work beyond regular hours within a payroll system.
Here’s how the overtime module typically works:
When is overtime considered?
The module allows defining overtime rules, such as how many hours beyond a shift or weekly working hours qualify as overtime, and overtime benefits such as Salary Benefit / Comp off.
a) Tracking Overtime
It may integrate with attendance records (punch-in/out times) to determine overtime automatically.
b) Approval Workflow
The overtime request needs approval from the manager before being counted towards payroll.
c) Benefits Calculation
Based on selected overtime benefits, the system calculates the total overtime benefits and includes it in the payroll process.
Update 4 – Powerful Wallet System in Overtime, Attendance & Payroll
The Wallet System has been introduced to seamlessly integrate leave management, attendance tracking, salary benefits, and payroll processing.
Benefits:
a) Automated Payroll Calculation
Payroll will be automatically calculated based on an employee’s leave, attendance, and salary benefits.
b) Flexible Payroll Management
Employers can generate and approve payroll anytime according to their business needs.
c) Continuous Data Maintenance
After payroll is generated, any subsequent leaves, attendance changes, or salary benefits will be maintained in the wallet. When payroll is approved, a calculated payslip is generated automatically.
This system eliminates the need for manually maintaining records of leaves, attendance, and salary benefits, thus reducing chaos and errors.
